Xero is the dominant accounting platform for Australian small and medium businesses. It is trusted by accountants nationwide and is the default choice for companies managing invoicing, reconciliation and tax reporting.
But Xero is not a complete HR solution. It handles accounting, invoicing and tax brilliantly. It is not built to manage employee records, leave entitlements, attendance or the operational side of payroll. GoPareto handles HR, attendance, leave, payroll and invoicing — but it is not a full accounting ledger.
That creates a genuine decision point for Australian business owners: run Xero with a separate HR tool, run an all-in-one platform, or run both together. This guide explains what each does, where they complement each other, and which approach fits which business.
Xero and GoPareto sit in different categories. Xero is an accounting system; GoPareto is an HR, payroll and invoicing system. For many businesses the right answer is not one or the other — it is deciding which system owns which part of the workflow. Product details and pricing change, so confirm current information with each vendor.
Core purpose: managing invoicing, accounting and tax compliance for Australian businesses.
| Xero handles well | Xero is not built for |
|---|---|
| Invoicing, payment tracking and automated reminders | Leave entitlements, accrual and balances |
| General ledger, profit and loss, balance sheets | Employee records, contracts and performance reviews |
| Bank reconciliation and expense management | Attendance tracking and clock-in / clock-out |
| GST, PAYG and BAS reporting | Rostering and shift planning |
| Inventory tracking and multi-currency | Operational HR workflow and approvals |
| A very large integration and accountant ecosystem | Being a single system for HR and finance together |
Ideal for: accountants managing client books, finance teams handling genuine accounting complexity, businesses with sophisticated invoicing or inventory needs, and any company where accounting sits at the centre of operations.
Core purpose: managing HR, attendance, leave, payroll and business invoicing in one system built for small teams and non-technical users.
| GoPareto handles well | GoPareto is not built for |
|---|---|
| Payroll processing and payslip generation | Full general ledger accounting and detailed financial analysis |
| Leave management, accrual and policy compliance | Inventory tracking for product-based businesses |
| Employee records, documents and approvals | Complex tax adjustment and BAS workflows |
| Attendance and timesheets | Multi-currency international accounting |
| Invoicing for small business | Advanced accounting automation rules |
| Workforce and operational reporting | Replacing your accountant's ledger of record |
Ideal for: small business owners with roughly five to fifty employees, HR-led organisations, service businesses billing time and projects, non-technical teams, and companies that want one system rather than three.
Xero handles accounting and invoicing; a dedicated HR or payroll product handles employees. Timesheets and payroll live in the HR tool, then flow — automatically or manually — into Xero for accounting.
It is a legitimate best-of-breed approach, and it works well when you have someone to own the integration. It is harder when the person owning it is also the business owner.
Attendance, leave, payroll and customer invoicing all sit in one platform. There is one login, no duplication between HR and billing, and no export step between timesheets and payroll. Where you later need accounting depth, payroll summaries can be passed through to Xero.
The trade-off is honest: you get operational simplicity, not accounting sophistication. If your business needs inventory, multi-currency or complex tax workflows, this approach alone will not cover it.
This is the combination most growing Australian SMBs land on. GoPareto runs operations — HR, attendance, leave, payroll and customer invoicing. Xero runs accounting — the ledger, tax and BAS, with your accountant working where they are already comfortable.
| Your situation | Recommended approach |
|---|---|
| Sole trader or contractor with no employees | Xero alone — there is little HR workflow to manage |
| One or two employees, payroll handled by your accountant | Xero alone |
| Roughly 5–15 employees, simplicity and speed are the priority | GoPareto alone |
| Roughly 15–50 employees with an accountant managing tax | GoPareto plus Xero |
| Genuine accounting complexity: inventory, multi-currency, group structure | Xero as the ledger, with GoPareto or another HR system alongside |
| 50 or more employees with complex requirements in both areas | Evaluate enterprise HR and accounting or ERP options |
A Sydney consulting firm is growing from ten people towards twenty-five. Payroll runs on spreadsheets, invoicing is done manually in Xero, leave balances live in someone's head, and billable hours are tracked over email.
They considered three options. A separate HR platform alongside Xero gave best-of-breed depth but left them reconciling two systems manually. An all-in-one platform on its own was fast and simple but would not satisfy the accountant taking over tax and BAS. The hybrid gave them both: HR, attendance, leave, payroll and client invoicing in GoPareto, with payroll summaries flowing to Xero for the accountant.
Why the hybrid won: the finance function needed professional accounting, the HR function needed simple payroll, the firm needed to be live in weeks rather than months, and role-based separation let each group work in the right system. The structure also holds as the firm grows past fifty people.
Six months in, the outcomes were straightforward: payroll processing dropped from most of a day to around two hours a month, employees could see their own leave balances, client invoicing was linked to tracked hours, and the accountant managed tax in Xero with a clean payroll feed rather than a spreadsheet.
| Xero | GoPareto | |
|---|---|---|
| Category | Cloud accounting | HR, payroll and invoicing |
| Best for | Accounting, tax and sophisticated invoicing | Employee management, payroll and operational invoicing |
| Payroll | Via its payroll module or an integration | Native |
| Leave and attendance | Not its focus | Native |
| Ledger and tax reporting | Comprehensive | Not a replacement for a ledger |
| Ecosystem | Very large | Growing |
| Typical buyer | Business owner with an accountant | Business owner managing a team |
For most Australian small businesses the pattern is consistent. Under about fifteen people, an all-in-one HR and payroll platform is usually enough on its own. Between fifteen and fifty, running GoPareto for operations alongside Xero for accounting gives you both simplicity and accounting rigour. Above fifty, it is worth reassessing both sides against enterprise options.
The better question is not which product is superior. It is which system should own which part of your workflow — and for a growing business with employees and an accountant, the answer is usually both, each doing what it was built for.
